What Is Digital Dictation

Digital Dictation represents a modern approach of managing day to day documents that have, up to now, been customarily created using magnetic tape and associated mechanical equipment.

The basis of the digital dictation method is the intelligent and automated workflow of dictation files through the use of computer software and hardware.

Why Use It

The advantages of implementing digital dictation

The main advantage of digital dictation is that it improves one of the practices main functions by allowing the transcription process to be more efficient whilst leaving the core functionality relatively unchanged. The difference with a new system is that the dictation is no longer on a fragile magnetic tape but would be a robust digital sound file which can be transmitted like an e-mail across the internal network or externally to the internal network.

Key Features and Benefits

There are many further advantages and some are listed below:

  • Users can easily insert dictation into the middle of the recording without the loss of any existing recordings.
  • Secretaries can be typing the work as soon as an item is sent rather than waiting for the whole tape to be handed in.
  • Files can be stored indefinitely for reference and quality purposes.
  • Outstanding work can be organised so those who are less busy can be more efficiently used i.e. distributed workload.
  • Sound quality is far superior to tapes.
  • Dictation can be categorised and prioritised.
  • No more winding tapes backwards and forwards.
  • No risk of accidentally erasing a tape or mislaying them.
  • Collaboration can take place across different sites.
